Using a Zoom Enabled Conference Room

Zoom Enabled Conference Rooms

The rooms listed below are equiped with Polycom Zoom Room systems for easy wireless sharing and/or connecting to Zoom, Teams, Google and Webex meetings.

Sharing Content Without an Active Meeting

  1. Open the Zoom desktop application on your laptop or mobile device.
  2. From the Zoom app, select Share Screen.
  3. Your device screen will display on the room monitor.

Joining a Zoom Meeting

Automatically

  1. When creating an appointment in Outlook, set the location for the meeting to the room you are in (Gerri C. Lebow Hall XXXX).
  2. The meeting will automatically be added to the Zoom room and the system will connect when the meeting starts.
    • You can start the meeting early by selecting it on the touch panel in the room.

Manually

  1. From the touch panel Home screen, select Join.
  2. Enter the Meeting ID.
  3. Select Join.

The section below labeled Zoom Meeting Buttons describes how to manage options within your Zoom meeting.

Joining a Teams Meeting

  1. From the touch panel Home screen, select Microsoft Teams.
  2. Enter the Meeting ID.
  3. Select Join.

Joining a Google Meeting

  1. From the touch panel Home screen, select Google Meet.
  2. Enter the Meeting Code.
  3. Select Join.

Joining a Webex Meeting

  1. From the touch panel Home screen, select Webex.
  2. Enter the Meeting Number.
  3. Select Join.

Starting an Ad-hoc Meeting (Zoom only)

  1. From the touch panel Home screen, select Meet Now.
  2. Add meeting participants as needed:
    • In the search field, enter your guests last name.
    • When their account appears, select the circle next to their name. A check mark will appear.
    • Repeat these steps until all guests are added to the meeting.
  3. Select the green Meet Now button on the right.
  4. Your guests will receive an invitation to join your ad-hoc meeting.

Security

This button allows you to manage the permissions the meeting participants have including chat controls, waiting rooms, or removing participants.

View

This button allows you to shift between Speaker, Thumbnail, and Gallery view on the room monitor. You can also choose Hide Self View to remove the room camera from the monitor so that only guests online are seen.

Camera Control

  • Manual - Use the arrow keys and magnifying glass to move the camera around and zoom in/out.
  • Speaker Focus - The camera will automatically zoom in on the person speaking.
  • Auto Framing - The camera will attempt to capture as many in-room participants as possible.
  • Multi-Stream - The camera will track multiple indivudals as separate sections of the video.

Participants

This button allows you to see all the meeting participants and manage basic options for the meeting including muting participants, promoting individuals to co-host status, or inviting addtional guests.

Record

This button allows you to record the meeting. You will need to enter the email for a particpant who will recieve a link to the recording to share with the rest of the participants. This link will be delivered after the meeting ends and the recording is processed by Zoom.

More

From this button you can access the meeting chat, reactions, turn on/off captions and create breakout rooms.
