Creating an Email Signature

Drexel has created an identity guide for official Drexel email signatures which can be found at https://drexel.edu/identity/web/email-signatures/. The guide not only includes the information to include, but also the fonts, sizes and colors that are acceptable. Please review these guidelines carefully when creating your email signature to ensure compliance with Drexel standards.

PLEASE NOTE: Outlook Online signatures do not copy over to the Outlook desktop client. Please make sure to set your signature both in Outlook Online and on the desktop Outlook app.

Outlook for Windows 10

  1. Open Outlook.
  2. From the File menu, select Options in the bottom left.
  3. Select the Mail tab.
  4. Select the Signatures button.
  5. Select New.
  6. Name the new signature Drexel University.
  7. Using the Edit signature text box, enter the text for your signature. Be sure to comply with all Drexel identity guidelines.
    • To add an image or logo, select the Insert Picture icon at the top right of the text box.

  1. When finished, set the New messages and Replies/forwards drop down menus in the top right of the window to the Drexel University signature.
  2. Select OK.
  3. Select OK again to close out the Outlook Options window.

Outlook for macOS

  1. Open Outlook.
  2. From the Outlook menu, select Preferences.
  3. Select Signatures from the Email section.
  4. Select + to create a new signature.
  5. Using the signature editor, enter the text for your signature. Be sure to comply with all Drexel identity guidelines.
    • To add an image or logo, select Pictures from File from the Pictures dropdown menu.
  6. When finished, close the signature editor.
  7. Verify the signature name is Drexel University. If not, double-click on the signature name to change it.
  8. Under Choose default Signature, set the dropdown menus as follows:
    • Account: Your Drexel email address
    • New messages: Drexel University
    • Replies/forwards: Drexel University
  9. Close the Signatures window.
  10. Close the Outlook Preferences window.

Outlook Online

  1. Browse to https://portal.office.com.
  2. Select the Outlook tile on the left.
  3. Using the gear icon in the top right, select View all Outlook settings.
  4. Select the Mail tab.
  5. Select Compose and reply.
  6. Select + New signature.
  7. Enter Drexel University into the Edit signature name text field.
  8. Using the text box, enter the text for your signature. Be sure to comply with all Drexel identity guidelines.
    • To add an image or logo, select the Insert pictures inline icon at the bottom left.
  9. When finished, select Save.
  10. Set the For New Messages and For Replies/Forwards dropdown menus to Drexel University.
  11. Select Save.
  12. Close the Settings window.
